Administrative Assistant

Schedule: Monday–Friday, 9:00 AM – 5:00 PM
Pay: $18.00/hour

We are seeking a dependable and highly organized Administrative Assistant who excels at creating a welcoming and efficient office environment. In this role, you will serve as the face and voice of the office—playing a critical part in ensuring every client and visitor has a positive, professional experience.

This position is ideal for someone who thrives in a fast-paced setting, enjoys working with people, and takes pride in delivering exceptional service while keeping operations running smoothly.

What You’ll Do

Front Office & Client Experience

  • Serve as the first point of contact by managing a multi-line phone system, directing calls, and taking accurate messages
  • Greet and assist clients and visitors with a friendly, professional, and welcoming demeanor
  • Provide high-quality customer service across in-person, phone, and email interactions

Administrative & Office Support

  • Manage schedules, coordinate calendars, and support daily office operations
  • Draft, proofread, and send professional correspondence
  • Maintain organized digital and physical filing systems with a high level of accuracy
  • Handle incoming and outgoing mail, deliveries, and office communications
  • Assist with document preparation, scanning, and recordkeeping

Organization & Workflow Coordination

  • Prioritize and manage multiple tasks in a fast-paced, interruption-driven environment
  • Help coordinate office activities and maintain efficient workflows
  • Provide general administrative support across teams as needed

What You Bring
  • Previous administrative or customer service experience preferred
  • Experience with multi-line phone systems strongly preferred
  • Strong written and verbal communication skills

  • Professional, approachable, and service-oriented demeanor
  • Dependability and the ability to work both independently and as part of a team
  • Proficiency in Microsoft Office (Word, Excel, Outlook) or similar systems

  • Exposure to basic IT support or design tools (such as Canva or Adobe Creative Suite)
